Works Orders – The Hub Of PSL Datatrack

The PSL Datatrack Works Orders module is used to control both your sales orders and your stock replenishment orders. Works orders are raised from quotations in seconds with no need to manually retype any information. Order acknowledgements can be generated at the push of a button.

The relevant process layout/route card is generated from the module and can be accompanied by a history sheet, a setup sheet and a copy of the drawing, if desired. Without leaving the module, the user can check whether they have any components of the same drawing number in stock and whether they have the necessary materials available to start the job.

PSL Datatrack starts with a quotation. A works order pulls all of the relevant information from here and distributes it throughout the rest of the system until the job is complete, acting as the hub of the system. The user can jump to as many of the following modules from Works Orders as necessary:

  • Administration (Company Details)
  • Sales (Quotations, Component Stocks and Deliveries)
  • Financial (Invoicing, Credit Notes and Job Costing)
  • Quality (Gauge Calibration and Non Conformance)
  • Purchasing (Purchase Orders, Goods Received and Material Stocks)
  • Technical (Process Layouts, Work In Progress and Sequential Scheduler)
  • Shop Floor Data Collection (SFDC)
  • CRM/Tasks

The user can also check the relevant quotation notes, quotation letter notes and quotation delivery estimate for any given order and the system can either automatically copy or prompt the user to copy these from the quotation to the works order. The choice, as always with PSL Datatrack, is yours!

Works orders can be grouped in ‘generations.’ These may be used for scheduled, call off or assembly orders. The Bill Of Materials (BOM) module can be used when there is a mixture of manufactured and non-manufactured items required and, if installed, the Sequential Scheduler integrates with Works Orders to calculate start and end dates for all works orders.

When a job is ready to be delivered, all of the relevant data stored in the works order is referenced in the Deliveries module to produce a delivery note for the customer. The works order will remain open until the final quantity is delivered and orders can be split as part of a call off agreement. A similar data reference works between Works Orders and Invoicing.

Numerous works order reports are available, perhaps the most important of which is the traceability summary. This provides a concise summary of related records from all modules for each works order including component issues, material issues, purchase orders placed, goods received, deliveries, rejects, invoices, credit notes, gauges issued, works non conformance, supplier non conformance and SFDC transactions.

The functionality of Works Orders can be extended by the following options. Document Management can be used to store associated files whilst Imaging is available to show relevant drawings and/or other images. Inspection Records can be opened and updated from Works Orders and a Listing Screen can be added for record filtering and rapid on-screen reporting.
